E-mail from Dean
Good morning,
Before we
start making any more physical changes (to add or delete or
change) to the authority files on the main computer, we must
have a clear understanding as to what exact changes we need to
make and know what implication that these changes will have on
the existing records plus what the work load will be to update
these records. In addition, there is problem of coordinating
the use of these new words with the record input people, and
their training. I will be in going to a Main Street meeting
in Marysville all day (Wednesday) and can not work on this with
you today. I am sure you can use a day off .
There
is an Impact meeting between the Board and all of the Committee
members at 8:00 on Thursday morning. I am available to work on
the authority files after this Impact meeting, if this will be a
good time for you. If not we can find another time that will
work for both of us and not conflict with the data input
schedule. Also, Saturday morning looks good for me.
Let
me know what works best for you,

Building new Location address in
the present "Storage File" Authority will be hard to locate for
me let alone others. This is and it will not locate quickly by
typing two letters. perhaps three letters but that is very
difficult and I move only one fast finger on each hand. I was
down there this afternoon and think we should get out or that
file to build the new ones. . where we have everything now
listed will make it very difficult however if we could change
the name of "Rooms" to "Rooms Division" which might work, We
would still have to have about 15 heading in present "Storage
File" This will take some more thought and work on the subject.

An Explanation, not e-mail The above may sound
a bit confusing if you have no experience with computers. Then
there is a second fact, the file is already loaded with
locations which we would have to work around. How DarlAnn
eliminated this by deleting all the files.

I
do not have time to work with you on PP4 today, Saturday morning
would be good. Seems that we are not in agreement with what
“clean up” of the authority files” means. Developing a new
Location Identification system is not minor cleanup, because it
will impact all of the base records, and barcode tags that have
been completed to date. In any case, we should not be using the
PP4 program on the main computer to develop or check out how
things work. Please stop working and experimenting on the
‘official files” records of the museum. Too many people have put
too much work to risk corrupting these files. We have to find a
better way to get where you think we need to go.

Dean
It was not my intention to change
any files or their link to Authority files. The intention is to
establish Location Authority files when the present Authority
files can be transferred to by by Bryan L. Gomez of PastPerfect. I
am not experimenting with the files. We set up some guide lines
on May 3, 2007 as to what we should try to accomplish. I am
trying to follow these guide lines. Some of us have spent much
time trying to correct files that were either covered with
reinstalling a backup over them which you say was not the case or
these were deleted by hand. Where we had reestablished the
Location and other Authorities files with the computer set on "Notifacation"
and checked out each Authority to make sure there was not
spelling errors or such. This took much time and it stopped the
warning on the computer where you have the "Continue or Shutdown"
message. I have learned to work through that problem and it is
what I would call a self correcting method. You do not need to
reinstall a backup to correct. I
am wondering if Dean did write this e-mail as it does not sound
like him after the conversation we and the working relation we had
established. I have done
nothing more than when you (Dean) and Jim Copeland were here.
I will be forwarding this to PastPerfect also. I will also be
forwarding some e-mail you most likely have not seen which I told
you about.
I have other things to do this morning and will not be at the
Museum on Saturday as I will be occupied Saturday with Family and
will be Golfing.

The above was my reply however i did not
add my name I was not aware of this at the time. You may see the
e-mails on the bottom in reverse order and the
latest on the top. E-mail does not copy and past the best as there
are many surprises.
One thing Dean and I did not know at the time of the
writing these e-mails was that the Authority Files, Storage Location
had been deleted and were no more. This Storage Location was
now be used for Room location even though Dean I had made some
changes to the Authority File named (Rooms) and were planning some
more. I am not sure he knows it now.

about the issue of the best way to manage this data base program.
There is nothing personal. I would like to keep it that way.
However, this is not the time to correct something that is not
broken, just because we think it should be done another way. We can
and should consider improvement, but we at the same time understand
the impact of what we have done and include the input and agreement
of those people who’s job is to get the information inputted. There
always a better way work a data base, but we have to consider the
resources (time, money and people) to make this change. We are not
headed this way right now, and the longer we stay on path, we risk
damage to the base file and to our relationship with the other
members of the Museum.
